The starting point
Members across North America, Europe and Africa bring requirements a single club never faces.
Different fees
Fees differ by country. Some countries pay annually, others monthly. With earlier tools this was hard or impossible to model.
Central administration
The entire organization had to be administered centrally, including every change in a single training group.
Controlling knowledge
Learning material for higher phases should only reach members who have reached the matching level.
Fees
One fee per country, annual or monthly
The organization creates a separate membership plan for each country, annual or monthly, with its own price. It takes purchasing power (purchasing power parity) into account: in countries with lower purchasing power, membership and offers cost considerably less.
- One plan per country, annual or monthly
- Prices based on each country’s purchasing power
- Every member is assigned to exactly one plan
- Plans and offers possible in euros, US dollars and Canadian dollars
Payment interval per country: annualmonthly

Group leaders
Every training group manages itself
Each country has one to ten training groups, each with a group leader (Group Lead). The organization owner explicitly appoints the group leaders and records them in Octahub. They then manage their own group instead of everything running centrally.
- See the achievements of the members in their group
- See members’ payment status
- See members’ membership status
- The organization decides which achievements group leaders may award
Gradings
From the exam to the matching learning material
What is the belt in judo or karate is a phase or level in most Filipino martial arts. In Octahub they are achievements, assigned by the organization or the group leader. In practice: after a passed exam, the group leader assigns the student the achievement, for example phase 3 or 4.
At Kali Silat Evolution, the achievement entitles the member to purchase a Grading Pack: the videos and all learning material for the phase the member is training toward next. This reduces administrative effort.
- Achievements: phases and levels as digital gradings
- Assigned by the group leader or the organization
- The achievement unlocks the purchase of the Grading Pack
Offers
Controlling knowledge and earning revenue at the same time
An offer is a digital product members can buy, for example a Grading Pack. This gives the organization an additional source of revenue. Offers can be tied to the country-specific membership: a Grading Pack costs less in Algeria than in the USA or Switzerland.
Offers can also be tied to an achievement. Without the matching achievement, nobody can buy Grading Packs for higher phases they are not supposed to see yet. This is how the organization governs access to knowledge. Payment runs via Stripe or PayPal.
Onboarding
Onboarding new members with a QR code
Group leaders onboard new members right at training using the Octahub app, available in the usual app stores. They generate a QR code, the new member scans it and states how they want to pay, for example via PayPal or Stripe. Onboarding happens in the group, not through headquarters.
- Generate a QR code in the app
- The new member scans the code
- Payment method is stated during onboarding, e.g. PayPal or Stripe
Members
Everything members need in one place
Members work in the app or in the desktop version of the app. There they see:
- all achievements earned so far
- how long their membership remains valid
- the offers they have already purchased
- the related content, ready to watch
At Kali Silat Evolution this means grading programs, that is, the videos for the next phase or level the member is training toward, as well as seminar videos.
Seminars
Seminar videos for every participant, automatically
Kali Silat Evolution films seminars and makes the seminar video available to participants free of charge through Octahub. This runs on achievements: attending a seminar earns an achievement. Once it is in place, a free offer is unlocked for the member automatically. They can rewatch the seminar video at any time to recall what was taught.
That is added value for participants. The organizer saves the effort of distributing the video by hand or through shared folders such as Dropbox, because members are already in Octahub anyway.

Questions about this case study
Can fees differ by country?
Yes. You create a separate plan per country, monthly or annual, with its own price. Every member is assigned to exactly one plan.
What can group leaders do in Octahub?
Group leaders are appointed by the organization owner and recorded in Octahub. They manage their own group and see the achievements, payment status and membership status of their members. The organization decides which achievements they may award.
How are Grading Packs unlocked?
An offer such as a Grading Pack can be tied to an achievement. Only once the group leader or the organization has assigned the achievement can the member buy the pack.
Does this fit other organizations too?
Octahub is tailored to martial arts organizations but not limited to them. Below the organization there is one level of groups; subgroups are currently not supported. Countries can be modeled with separate plans.
How do new members get onto Octahub?
The group leader generates a QR code in the Octahub app. The new member scans it and states how they want to pay, for example PayPal or Stripe.
